Physical Postal Address
How to configure and embed your organization's postal address in every commercial email.
Every commercial email you send must include a valid physical postal address for your organization. This page explains what the requirement means, why it exists, and how to configure it in Simply Send.
Required — CAN‑SPAM, CASL, GDPR
What it is
The sender's valid mailing address (street address, registered P.O. box, or private mailbox) that must appear in every commercial email — typically in the footer.
Why it's needed
It legally identifies the sender and gives recipients a way to contact the organization. CAN‑SPAM, CASL, and GDPR all mandate disclosure of sender contact information. Omitting it is a direct violation and risks immediate enforcement action.
How to implement
- Go to Templates → Compliance Templates and create a Company Address template with your full legal postal address in HTML.
- Submit the template for admin approval. It cannot be used in live emails until approved. Simply Send will verify your address and if needed ask for additional information.
- Once approved, insert
{{company_address_html}}in your email template footer. Simply Send replaces it automatically when sending. - Test your template to ensure it renders correctly in different email clients.
- If your address changes, create and submit a new template — the old one remains active until the new one is approved, OR resubmit the existing template for approval with the new address. Note that if you resubmit an approved template, it will be set to pending approval and will not be able to send email with that address template.
